Office Manager

Location

Hybrid: Ashland,OH and Remote

Hours

Full-Time: 40-50 Hours a Week

Compensation

This is a Salaried Postion. Compensation is subject to experience and availability

Key Responsibilities

  • Managing the Phones for DM and ensuring all calls get answered in a timely manner.
  • Manage the Messaging Inboxes for Facebook, Instagram, Google, and Email to ensure we repsond to customers in a timely manner
  • Maintain order and cleanliness in the Ashland Office.
  • Core Hours: 9am-5pm
  • Maintaining the JobNimbus CRM with correct and up-to-date information
  • Assisting in Filing and Bookkeeping in Quickbooks Online

Project Coordination:

  • Collaborate with project managers to assist in planning and coordinating roofing projects.
  • Maintain project documentation, including contracts, permits, and progress reports.

Client Communication:

  • Act as a primary point of contact for clients, addressing inquiries and providing project updates.
  • Ensure excellent customer service by maintaining positive relationships with clients.

Office Management:

  • Oversee day-to-day office operations, including managing phone calls, and emails
  • Maintain a well-organized system for project documents and correspondence in our online systems like Jobnimbus, Highlevel, and Sumoquote
  • Maintain order and cleanliness of the office

Scheduling and Logistics:

  • Coordinate scheduling for roofing crews, material deliveries, and required building permit inspections.
  • Monitor project timelines and communicate any delays or changes to the relevant parties.

Financial Administration:

  • Assist in invoicing and billing processes, ensuring accuracy and timeliness.
  • Track project, commissions, and subcontractor expenses, and maintain financial records for reporting and budgeting purposes.

Team Collaboration:

  • Foster a collaborative and positive work environment by effectively communicating with internal teams.

Preffered Qualification

  • Proven experience as an Office Manager or Administrative Assistant.
  • Strong organizational and planning skills.
  • Highly Teachable
  • Excellent communication and interpersonal abilities.
  • Proficiency in Google Docs, Sheets, and Drive and office management software.
  • Knowledge of bookkeeping and office administration processes. Quickbooks experience is a plus
  • Prior experience in contracting and construction is a plus.
  • Ability to multitask and prioritize daily workload.
  • High attention to detail and problem-solving skills.
