Key Responsibilities
- Managing the Phones for DM and ensuring all calls get answered in a timely manner.
- Manage the Messaging Inboxes for Facebook, Instagram, Google, and Email to ensure we repsond to customers in a timely manner
- Maintain order and cleanliness in the Ashland Office.
- Core Hours:Â 9am-5pm
- Maintaining the JobNimbus CRM with correct and up-to-date information
- Assisting in Filing and Bookkeeping in Quickbooks Online
Project Coordination:
- Collaborate with project managers to assist in planning and coordinating roofing projects.
- Maintain project documentation, including contracts, permits, and progress reports.
Client Communication:
- Act as a primary point of contact for clients, addressing inquiries and providing project updates.
- Ensure excellent customer service by maintaining positive relationships with clients.
Office Management:
- Oversee day-to-day office operations, including managing phone calls, and emails
- Maintain a well-organized system for project documents and correspondence in our online systems like Jobnimbus, Highlevel, and Sumoquote
- Maintain order and cleanliness of the office
Scheduling and Logistics:
- Coordinate scheduling for roofing crews, material deliveries, and required building permit inspections.
- Monitor project timelines and communicate any delays or changes to the relevant parties.
Financial Administration:
- Assist in invoicing and billing processes, ensuring accuracy and timeliness.
- Track project, commissions, and subcontractor expenses, and maintain financial records for reporting and budgeting purposes.
Team Collaboration:
- Foster a collaborative and positive work environment by effectively communicating with internal teams.
Preffered Qualification
- Proven experience as an Office Manager or Administrative Assistant.
- Strong organizational and planning skills.
- Highly Teachable
- Excellent communication and interpersonal abilities.
- Proficiency in Google Docs, Sheets, and Drive and office management software.
- Knowledge of bookkeeping and office administration processes. Quickbooks experience is a plus
- Prior experience in contracting and construction is a plus.
- Ability to multitask and prioritize daily workload.
- High attention to detail and problem-solving skills.
